Partner Certification Program

Dances With Horses has successfully completed more than 50 horse training and natural horsemanship charity demonstrations in the past six years. These experiences have taught us how to build large audiences. Here are the basic requirements to organize a successful Benefit Demonstration.

 

 

Choosing the Date and Time

  • 4-6 months or more in advance
  • Evaluate your organization’s calendar
  • Research other major community & equine events so not to conflict
  • Consider weather patterns in your area
  • Best Times: 1st choice: Saturday afternoon from 3 pm or 4 pm to 7 pm
  • 2nd choice: Sunday afternoon from 3 pm or 4 pm to 7 pm
  • 3rd choice: Friday evening 7 pm to 10 pm

The Ideal Facility

  • Centrally located (easy to find by major highways)
  • Indoor or covered (no risk of cancellation due to weather (hot, cold, wet)
  • Existing bleacher seating for 500 or more
  • No charge or minimal charge to use
  • Adequate lighting, parking, restrooms (porta-potty can be rented)
  • Sound system setup

Equipment Requirements

  • 50-60 ft. round pen
  • 4-5 volunteered horses with problems (owner transports) and stalls
  • 2 – 8ft tables and 1 – 6ft table for DWH booth and 1 – 8ft fence section for product display, covered area
  • Audio Cassette Radio to plug into sound system
  • Money for change
  • Extra bleachers or chairs if necessary

Volunteers

  • 4-6 volunteers
  • Procure Sponsors
  • Newspaper Ads
  • Radio/TV airtime
  • Food & beverages to sell
  • Items for silent auction or drawings through ticket sales
  • Money donations to defer costs

Media

Assist DWH office in working with the media by providing the following information:

  • Local/major newspapers, all the radio, TV, horse publications, horse clubs with newsletters, etc. Name, address, phone, fax, email and any personal contacts in the organization.
  • DWH provides all press releases and advertising.

Procure Sponsors

  • Radio/TV Airtime
  • Newspaper Ads
  • Food & Beverages to sell
  • Items for silent auction or drawings
  • Tack stores
  • Money donation

Marketing Material Distribution

All marketing material provided by DWH including a Fundraiser Guideline Notebook. Support in distributing the following in your area is needed.

  • Mail flyers to your members/supporters.
  • Mail flyers to barns, vets, horse owners, feed/tack stores, horse clubs, 4-H, equine non-profits, etc. Any equine mailing list you are affiliated with.
  • Hang posters
  • Provide flyers to tack stores in counter display holder (keep filled).

Pre-Event Ticket Sales

  • Tickets provided by DWH for pre-event sales
  • Set up business locations to sell with incentives
  • Telemarket to businesses
  • Other non-profit equine organizations can sell

Accommodations

To reduce the travel expenses of DWH staff, private accommodations for two, airport pickup or use of a vehicle is greatly appreciated.
